Finish the load. Send the paperwork.

A load is delivered, but the office work remains. The broker needs an invoice and supporting documents. TBOS keeps them attached to the same load so you can prepare the packet from your browser.

From delivered load to invoice draft

Open a delivered load and create its invoice. Review the customer name, billing email, amount and due date. Include your payment instructions or factoring instructions in the notes before creating the draft. Review the PDF before sending.

Send the invoice with supporting documents

Upload the rate confirmation, BOL and signed proof of delivery. The Send invoice action attaches the invoice PDF and those uploaded documents, up to the combined email limit shown in the app. Each uploaded file can be up to 15 MB.

TBOS reports whether the mail server accepted the message. Acceptance does not guarantee delivery to the customer’s inbox. If sending fails, the app shows the failure so you can check the email address or download the PDF and documents.

Record payments you actually received

After the customer pays, record the full payment on the invoice. The invoice and linked load move to paid together. Revenue is recorded against the payment date. This action records a payment; it does not charge the broker’s card or transfer funds.

Before you send: a practical checklist

  • Match the broker load number to the rate confirmation.
  • Check the billed amount against the agreed rate and approved adjustments.
  • Make sure the signed delivery document is readable.
  • Confirm the billing email, due date and payment instructions.
  • Follow any customer-specific portal or document requirements.
