Name the person responsible for the review
Before collecting documents, record who will review the driver’s qualifications, who will request outstanding information and who will approve an assignment. A folder full of uploads does not show whether someone checked the information.
Start with the operation, vehicle and licensing category. This guide organizes a workflow; use current agency guidance to determine the requirements for your drivers. If you operate under your own authority and also drive, review the responsibilities that apply to both roles.
Build the applicable driver qualification file
FMCSA’s driver-file guidance covers the documents and inquiries associated with qualification. Review the full guidance for applicability, timing, exceptions and retention; this short list is an organizer.
- Completed driver application and relevant employment history.
- Required driving-record inquiries and review records.
- Applicable safety-performance history inquiries and documented follow-up.
- Road-test evidence or a permitted equivalent.
- Medical qualification evidence appropriate to the driver’s licensing category and operation.
- The responsible reviewer’s notes and unresolved requests.
Check related requirements separately
Confirm the license class and endorsements for the work. For drivers and operations subject to drug-and-alcohol testing or Clearinghouse requirements, track those steps through the appropriate process. These records can have separate handling and access requirements; a general document checklist does not replace that process.
Use a status for each step: requested, received, reviewed or needs follow-up. Keep sensitive records available only to people with an appropriate role. Record where the authoritative file is held rather than spreading copies across group messages.
Prepare the driver for the first assignment
After the responsible person has resolved qualification requirements, walk through a real example of the day’s work. A short practice handoff makes missing instructions easier to catch.
- Confirm contact details, emergency contacts and the person to call about a problem.
- Explain the assignment, equipment and pickup instructions.
- Agree on how arrival, delays, changes and delivery will be reported.
- Show where to submit the bill of lading, delivery proof and receipts.
- Confirm pay arrangements and how the driver can raise a settlement question.
Keep the file current after onboarding
Create separate tasks for an expiring credential, a recurring record review and an event such as a driver changing licensing states. Do not use one annual reminder for every kind of driver record. The applicable rules and the individual document determine what happens next.
During the first week, check whether assignments and paperwork are reaching the right person. When a renewal is received, check the new record, update the next action and retain prior records according to the applicable retention requirements. Use the renewal-calendar guide to organize that routine.
TBOS helps with team access, assignments and applicable company documents. It does not obtain driving records, perform background checks or make a driver legally qualified by creating an account.
