Build the calendar from your own records
A trucking renewal calendar starts with the documents and responsibilities in your business. Use the date shown on the current credential, policy or agency notice, then confirm what must happen before that date. The same calendar month is not a universal deadline for every trucker.
Include company, driver and vehicle tasks, but give each its own owner and source. This guide provides a planning template. Its suggested review intervals are business habits, not legal deadlines or a determination of which filings apply to you.
Use three different kinds of dates
Keeping these dates separate prevents a common mistake: treating every document as something that simply expires once a year.
| Date type | What it tells you | Where to confirm it |
|---|---|---|
| Expiration or renewal | When a credential, policy or registration needs renewal or replacement. | The current document, issuing agency or provider. |
| Review or service | When someone must review a record or arrange an inspection or maintenance task. | Applicable rules, the equipment schedule or your documented process. |
| Retention | How long a record must remain available, including after a person or unit leaves. | The rule for that record type and any other applicable obligations. |

Set a review rhythm you can follow
As an internal planning example, review upcoming items weekly and consider checkpoints 60, 30 and 14 days ahead. Adjust those checkpoints to actual processing times and the responsible person’s availability. Some tasks need more lead time; others depend on usage or a change in circumstances.
Start each review with overdue or unresolved tasks. Confirm the next action, owner and expected completion. If the deadline could affect a planned assignment, resolve that with the responsible person before scheduling the work. A reminder itself is not evidence that the task was completed.
Close the task with evidence
When a replacement arrives, check that it belongs to the right business, driver or unit. Store the current record, confirm the new date and update any customer or carrier that needs the change. Record what was sent and when, so your next review starts from a known position.
Keep prior records according to their applicable retention requirements. Do not delete everything when it expires or a driver leaves. Your calendar should identify the source of the retention instruction, as well as the person who will make that decision.
TBOS can store applicable company records with expiration dates and notes. It does not submit a renewal or confirm legal compliance for you. Use the public document checklist to identify common areas to review, then keep the actual records and follow-up work current.
Keep the record with its expiration date.
In TBOS, applicable company documents can include an expiration date and notes. Keep your review routine alongside the records and follow through on outstanding tasks.
